We have a user who reports getting 28 Happy Birthday emails from us. Another one reported 14. Any idea what could cause this?

this sounds like it may be a hiccup on your webhosts mail server end.
when did this all happen? who else got multiple redundant mails. were the mails all dated the same? did the user once have no birthday set, then once they set their bd, a flood of mails got sent? could they have been backlogged (clogged up) with many others on your mail server, that just recently got reset and released (sent)?
what does your ubbt admin log say? each mail that ubbt sends out is logged there. if only one entry is listed, then ubbt only sent one mail to your webhost's mail server for delivery.

This caused the mail queue to grow, but I don't see how that could have affected him specifically.

what does the ubbt admin log say?
it is possible that ubbt only sent one, and your mail server got clogged (server hiccup for whatever reason), and produced all of the mail server logs you just posted.

Help me understand something. In the admin log, there is a column titled User. I noticed that UBB_THREADS was the sender in some of the Happy_BIRTHDAY messages, but there are also display names in there. Why would the display names be there?

The "User" and their "IP Address" column is what triggered the birthday event. It looks to me as though you've had 5 events triggered by the system at the same time (hour) when your server database went down or moved IP addresses or whatever -- It may have been rebooted, had a service restart, incomplete boot, had a hiccup or fault or whatever.
Each event attempted to run, but failed due to an inability to write to your cache database with the "completion" update. This all happened on 2025-12-21 between 6:06 to 6:51. User texczech and their ip address may have been listed here as part of this server issue you had.

Analyzing the mail logs for [email protected] (in my first reply above) shows that all the mail ids are unique. This means the problem had to be the forum software, because the mail server was not sending duplicate messages. I have disabled birthday notices until we can figure this out. I still don't understand how texczech (and other members) becomes the user that sends a birthday email. So, I'll ask again - is there a way for members to trigger a birthday message? Can they click on something to send one? Saying this is a server issue is not helpful. Also, what is the ubbthreads mechanism for sending the birthday notice? (please provide the precise step by step process for generating one)

I pasted the section of triggers.inc.php dealing with birthdays into Grok and asked him to analyze it for anything in there that could trigger multiple birthday notices. This was its answer. Yes, potential issues:
PENDING-$rightnow lock in CACHE table may fail if concurrent requests overlap, allowing multiple triggers. No unique constraint on CACHE_VALUE for 'birthdays', risking race conditions. trigger_birthday_notifications called multiple times if invoked externally (e.g., page load loops). When I asked it to explain the race condition, it responded with this; Race conditions may occur due to concurrent trigger_birthday_notifications calls, as the PENDING-$rightnow lock in the CACHE table lacks robust synchronization. Multiple requests could bypass the check, triggering duplicate emails.
To fix race conditions in UBBThreads' libs/triggers.inc.php:
Add a unique index on {$config['TABLE_PREFIX']}CACHE for CACHE_FIELD='birthdays' to prevent duplicate entries. Use a transaction or semaphore (e.g., file lock) around the PENDING-$rightnow update and email loop. Modify function to check and set lock atomically with SELECT ... FOR UPDATE in MySQL before proceeding.
Add unique index: Run ALTER TABLE {$config['TABLE_PREFIX']}CACHE ADD UNIQUE (CACHE_FIELD, CACHE_VALUE) WHERE CACHE_FIELD='birthdays'; via MySQL. Implement transaction: Wrap trigger_birthday_notifications in START TRANSACTION; ... COMMIT; with SELECT ... FOR UPDATE on CACHE where CACHE_FIELD='birthdays' before updating. Add file lock: Use flock(fopen('/tmp/ubb_birthday.lock', 'w'), LOCK_EX) before email loop, release with flock(..., LOCK_UN) after. Test: Simulate concurrent calls to ensure single execution.

I had to look up what Grok was. Grok defines itself as "a free AI assistant designed by xAI to maximize truth and objectivity. Grok is a generative AI chatbot created by Elon Musk's company xAi." The AI bot is spitting out odd opinions on race/race conditions. You are also feeding your forum user's email addresses/privacy into an AI training bot 🤔 along with UBB System's copyrighted code.

There isn't anything for us to fix, UBB.threads is a simple PHP script with a MySQL backend, once a message is triggered to send mail it sends a message off to whatever your configured mail system is; after that point UBB.threads is done, it assumes the message has been delivered.
Once it hits your mail spooler any hiccup on the server can cause messages to repeat a send, it's how they work; until the mail system gets an "okay" that a message has been transmitted it'll retry to send the message; which during a "hiccup" could be any number of retries and technically any or all of those can be delivered to users (I'm sure we've all got duplicate emails at times from newsletters).
Diagnosing issues outside of UBB.threads is outside of the scope of the user to user forums as it is no longer a script issue.
We will not be accepting suggestions from AI tools which fail to understand the overall scope of the entirety of the code base; providing your user information to such databases could be seen as a huge privacy issue.

As said earlier in the thread, according to your log files this happened 4 or 5 times on December 21, between 6:06 AM to 6:51 AM - what is happening: your happy birthday emails being resent to each user having their birthday set to that day each time you clear your forum cache in the control panel. - the cause and how to reproduce: clearing cache from the control panel will clear all forum caches along with today's "sent birthday mail" marker cache. after the marker's cache is cleared, it is rebuilt when the next user/guest logs in or logs out, and users with birthdays on the current date will be sent a happy birthday mail. note that because ubbt does not use server cron jobs and instead ubbt relies on certain natural actions to happen on the forum (such as logins or forum listings). also note that the account name who triggers the event job is listed in the log for this item. this natural trigger task is invisible to the users and has lived in the forum software this way since its early release. - the desired solution: prevent the "today's birthday sent" marker cache from being cleared. - the fix: in admin/doclearcache.php around line 18 and in scripts/mycookies.inc.php around line 17 find WHERE CACHE_FIELD not in ('max_online', 'max_online_timestamp')replace both with WHERE CACHE_FIELD not in ('max_online', 'max_online_timestamp', 'birthdays')you can manually apply this modification to your forums now, or wait until the next version of UBB.threads is released when it will be included.

UPDATE: If the cache gets inadvertently cleared for some reason, shouldn't there be a check in the code that says if the cache value is NULL set to the current date? When I looked at my cache yesterday, the cell was empty. I assume that's because the cache was cleared. Your fix prevents the cache from being cleared, but if it were ever possible to set it to empty again, the problem would reoccur, would it not?

Your fix prevents the cache from being cleared, but if it were ever possible to set it to empty again, the problem would reoccur, would it not? the cache item is the day number. the code checks if the day number in the table = the current day number of today. - if it does match, then affected_rows() is 0. the birthday email is NOT sent. - if it does not match, then affected_rows() is 1. the birthday email is sent. a "no match" could be "2 vs 1" or "2 vs NULL". doesnt matter. if the data gets updated from what it was before, that is a "no match." the fix in my post above, requires that both files be updated. /admin/doclearcache.php is when an admin manually clears the forum cache. /scripts/mycookies.inc.php covers for when you have your forum in debugging mode and are actively attempting to troubleshoot a problem either as a user or as a guest account. with debugging enabled, it displays to everyone; certain aspects of your server, code, your database name, database username, and any table name that failed connecting to. certain other aspects such as bypassing cache are also performed when debugging is enabled. for security and overall forum performance, it should remain off unless you are actively troubleshooting an issue.
